Your wedding photos are some of the most personal things you’ll ever own. Here’s exactly how we protect them, how long we keep them, and what we will never do with them.

Privacy policy

Private by design

We built Maple Vow Pics around one simple idea: the moments you share belong to you and your guests, not to us, and never to anyone else.

We will never sell your photos

Not to advertisers, not to data brokers, not to anyone. Your photos, videos and personal details are never for sale. Ever.

We don’t look at your photos

We will never view your images. Our own team tools are built so they can’t open albums, photos, videos, guest names or notes. Only you and the guests you share your link with can see them.

No ads. No AI training.

Your memories are never used to train artificial intelligence, to target ads, or to promote our business.

Canadian & accountable

We’re proudly Canadian owned and operated. We handle personal information in line with Canada’s privacy law (PIPEDA), and your photos are stored on our servers in Canada.

What we collect

  • Your account: your name, email address and password (stored only in scrambled, “hashed” form, so even we can’t read it).
  • Your wedding details: names, date, welcome message, cover photo, and the look you choose for your site.
  • What guests share: their photos and videos, plus the name and optional note they type. Guests never need an account.
  • Payments: handled entirely by Stripe. We never see or store your card number.
  • Basic technical info: like your browser type and IP address, used only to keep the site secure and working.

How we use it

Only to run your wedding site: showing your album, letting you download it, sending receipts and helpful reminders, and keeping everything safe. That’s it.

Who can see your album

Anyone with your wedding link, so share it with the people you want to include. Wedding pages are hidden from search engines, and you can remove any photo, video, or your whole wedding at any time.

Trusted partners

We use a small number of services to run the site: Cloudflare (secure network connection), Stripe (payments), an email delivery service (for your emails), and Google Fonts (our lettering). They only get what they need to do their job.

How we keep it safe

Everything travels over an encrypted (https) connection. Passwords are hashed, login links expire, and our owner tools are deliberately walled off from your private content.

Cookies

We use a single cookie to keep you logged in. No advertising or tracking cookies.

Your choices

You can see, correct, download or delete your information at any time. Email us and we’ll help with anything you can’t do yourself.

Media policy

How long we keep your photos & videos

We keep your memories safe long enough for you to collect and download everything. Then we delete them for good, with no lingering copies.

    From your wedding day: your album is open

    Depending on your plan, it stays open for 15 days to a full year after your wedding. Guests share their photos and videos, and you can view and download everything whenever you like.

    When your plan’s time is up: your album closes

    Please download all your photos and videos before this date. Your control panel always shows the exact date, and we’ll send you reminder emails 7 days and 1 day before.

    The next 10 days: safekeeping

    Missed the deadline? We hold your photos and videos for 10 more days. Contact support during this time and we can recover them for you for a small service fee.

    After that: gone forever

    Your photos and videos are permanently deleted from our servers and can’t be recovered by anyone, including us.

Good to know

  • How long each plan keeps your album open after the wedding: Basic 15 days · Standard 30 days · Advanced 60 days · Premium 90 days · Enterprise 120 days · Unlimited 1 year.
  • Need more time? Upgrade your plan while your album is still open and it stays open longer.
  • All dates count from the wedding date on your site. It can’t be changed after the wedding has happened.
  • You can delete any photo or video, or your whole wedding, sooner from your control panel.
  • Downloads come as one zip file, sorted into a folder for each guest, with their notes included.

Terms & refunds

The simple version

What you’re buying

Each plan is a one-time payment for one wedding site, priced in Canadian dollars (CAD). It includes the storage and video length listed for that plan. You can upgrade any time by paying the difference. There’s no subscription.

Refunds

If something isn’t working for you, contact us within 14 days of purchase and before guests have uploaded photos, and we’ll refund you in full.

Fair use

Plans are meant for one wedding’s photos and videos. Please don’t use the service for anything illegal, or to share content you don’t have the right to share. We may remove content or accounts that break these rules.

Changes

If we ever change these policies in a way that matters, we’ll tell you by email first.
